Health
Routine checks the hub remembers for you β eye tests, dentist, and Arthur's. It works out when each is next due and flags what's coming up or overdue. Reminders and standard intervals only β never medical advice.
Repeat prescriptions
Kept private to the family. The hub flags when a reorder is likely due, and you can send Lou a plain errand to order it β she only ever sees the message you write, never your medicines or health data.
Daily medicines
A daily "taken it?" tick for the medicines Laura and Luke take, so nothing's missed β and a record of what you take, ready for the emergency card. You can also just WhatsApp "taken" and it ticks the lot for the day.
Weight & BMI
Log weight, height and body composition to track BMI over time. Snap your David Lloyd body-composition sheet and the hub reads the numbers for you. Apple Health is on the list.
Arthur's vaccinations
The NHS routine childhood schedule, worked out from Arthur's date of birth β what's done, what's coming up, and anything overdue. Tick each off as he has them. A reminder, not medical advice.
Emergency medical summary
An In-Case-of-Emergency card for each person β allergies, conditions, medicines, blood group and who to call. Show or hand this to paramedics in a hurry. Family-only, never shared with Lou.

Lou (PA)
What is waiting on you right now β her holiday requests, her expenses, the jobs you have set her and her handover notes. Everything else about her is on the five pages along the top. She signs in separately at /pa and can never reach household finances or documents.
Pending holiday
Expense claims
Jobs for Lou
One-off jobs, separate from her cleaning rota. She can reply with a question, move it to another day, and you'll see when it's done.
Handover notes
Things Lou needs
Bits Lou's run low on or needs for Arthur β craft paper, cleaning cloths and so on. Grab = she'll pick it up and expense it; Order = one for you to add to Amazon/Ocado.
Company card
She spends from a preloaded float; the Hub warns you when it runs low so you can top it up.
Lou · Rota & week
The cleaning rota and the shape of her week: which jobs recur and how often, the days she works, what to get ready the night before, and the weeks that change the plan.
Rota
Daily, weekly, fortnightly or monthly. She sees today's jobs grouped by room, with your notes. Load standard jobs fills the rota with the usual housekeeper set β then edit or remove what you like.
Working days
Next-day prep
What to get ready for each person on set days (swim bag Friday, ballet kit Monday). She sees it the day before.
Blocked dates
Days you need her working. She cannot book holiday over these.
Away / deep-clean weeks
While you're away, her rota switches to the deep clean (beds pulled out, oven, skirting) and routine jobs pause. Booked holidays sync in automatically.
Lou · Hours & pay
Her hours, the balance banked or owed, her rate card, and the kitchen screen she logs a day on. Nothing here is visible to her on the fridge.
π Her hours & the kitchen screen
Her day is her normal day unless you say otherwise, so there is nothing to do here most weeks. If she stays late or starts late, change that day’s times below β the difference is banked for her, or owed back by her, and it all nets off. Cash it in under Hours & pay as extra pay or a day off.
The next fortnight. Anything not marked has been worked as normal.
Her normal week. This is what every day is measured against, so it is also what decides what counts as extra. Change it here and every future day follows β you only need a one-off shift above for a week that is different.
Kitchen screen. Pair the fridge and it shows two pages: her rota with today’s hours, and the list of what needs doing, which she can tick off as she goes. It sees nothing else β no pay, no calendar, no documents. Anyone with the link can use it, so treat it like a key: pair once, and unpair it if the screen leaves the house.
Every change to her hours. Kept for good, whoever made it and wherever from.
β±οΈ Hours & pay
Her contract is 35 paid hours a week at Β£18.00/hr. Her normal day is 08:30β16:30 with an hour for lunch, so an eight-hour span is seven paid hours and a five-day week comes to exactly 35. She records what she actually works; anything over or under lands in the balance below. Settling it as paid is the contract's default (clause 10) β time off instead needs to be agreed with her in writing.
Rates β leave a premium blank to pay the standard rate for it.
A sleep-in where she is permitted to sleep is normally paid as a flat allowance rather than hourly, with the hourly rate applying only to time she is actually woken and working. If she is required to stay awake, the whole shift is working time and must clear the National Minimum Wage β worth confirming with an employment adviser before you rely on it.
Lou · Arthur
Everything about Arthur that Lou needs: his week, his food, how to settle him, his medicines, any bumps, and the play-based activities to work through with him.
Arthur's week
Clubs, per-day school pickup times, and school holidays. Out of term, pickups drop and term-time activities pause on her schedule. Sync from school pulls the holiday dates from the school calendar.
Arthur's food
His favourites, treats and anything to avoid, plus the week's dinners β so she knows what to cook. Allergies stay on her side only.
π§ About Arthur
Everything the nanny should know about Arthur β his routine, naps, how to settle him, allergies & medical, anything to avoid. Give each a short heading. She sees all of these under Info βΊ About Arthur, with allergy/medical notes flagged.
Arthur's medicines
What he can have
The medicines Lou can give Arthur, each at the right dose for his age β she picks from this list so there's no guessing. Amounts are the standard ones from the bottle; check and tweak anything that's different for Arthur.
Doses given
Everything he's been given, so no one doubles up by accident. The banner shows when the next paracetamol or ibuprofen is OK. You and Lou both see it live.
Bumps & scrapes
Every little bump or fall β at nursery, at home, or with Lou. She can pop them in here too, and you'll see it the moment she does. These things happen!
Arthur's development programme
A little library of play-based learning activities across the seven areas of early development. Plan a few into the week for Lou to do with Arthur; send the materials straight to the shopping list. Lou ticks each off and notes how he got on.
Lou · House & pets
The plan of the house her jobs hang off, Bean and the other pets, and the only contacts and addresses she is allowed to see.
Rooms
The plan of the house. Jobs attach to a room so her list groups by area.
Bean & pets πΆ
Your furry family and their daily care. They pop up on Lou's Today list β fresh water, feeds, and a check-in when you're away β so nothing's ever forgotten.
Contacts she can see
Addresses & activities
Lou · Employment
The paperwork a responsible employer holds: her contract and checks, her induction and phased start, her training, and the account she signs in with.
π Employment & HR
The paperwork a responsible employer holds: her contract and NDA, right to work, DBS, first aid, and how she's paid. She fills in her own address, next of kin and bank details from her app β you record the checks. Anything sensitive is encrypted, and her account number is only ever shown as the last 4 digits unless you deliberately reveal it.
Her details β she keeps these up to date herself.
How she's paid
Induction & start
Her first 4 days are a guided induction with a buddy. While your cleaners are still in, she does the daily tidy only β the full rota starts on the date you set here.
Lou's training & development
In the holidays Arthur naps ~2 hours β Lou takes an hour for lunch and an hour to learn. Add courses, reading or activities to prep here; she works through them and ticks them off.
